Scout Guide
Step-by-step guide for onboarding property managers onto the Hunico platform.
Who Is a Scout?
A Scout is a team member who helps property managers get set up on Hunico. You handle the technical side — creating accounts, assigning roles, and granting access — so the property manager can focus on managing their listings.
Onboarding Flow
Follow these seven steps to onboard a new property manager:
Manager: Register
Ask the property manager to sign up at the platform. They will need to provide their email address and create a password. After submitting, they will receive a confirmation email.
The confirmation email may land in spam, junk, or promotions folders. Ask the manager to check all folders.
Scout: Check New User
Navigate to CRM → User. Verify the new user appears in the list. You should see their email and the default User role.
Scout: Upgrade Manager to Vendor Role
Click on the user row to open their profile. On the user's profile page, click the Upgrade to Vendor action button. This promotes the user to the Vendor role, giving them access to CMS and CRM sections.
Scout: Create a Vendor
Go to CMS → Vendor and click Create. Fill in the vendor profile: name, description, contact information. This is the manager's business entity on the platform.
See Vendors documentation for details on vendor fields.
Scout: Invite Manager to Vendor
Navigate to CRM → User, click on the user's profile, then click the Invite to Vendor action button. Select the vendor to invite them to and confirm. The manager will receive an email with a link to join the vendor team.
Remind the manager to check spam/junk folders for the invitation email.
Manager: Accept Invitation
The manager opens their email, finds the invitation, and clicks the link to accept. After accepting, they will be connected to the vendor and can see it in their CMS section.
Scout: Permit Access to Vendor
Go to the vendor page and click the Permit Access action button. Select the manager's user and choose Admin as the permission level. This gives them full control over their vendor, complexes, templates, and units.
See Permissions documentation for details on permission levels.
How to Onboard a Property
After the manager has access, the property setup follows this flow:
- Create a Complex — Go to CMS → Complex, click Create, and fill in the property details (name, address, description). See Complexes.
- Create a Template — Inside the complex, create a template for each room type (e.g., "1BR Villa", "Studio"). See Templates.
- Create Units — Inside each template, create individual units (e.g., "Room 101", "Villa A"). See Units.
- Upload Media — Add photos and videos to each level (vendor, complex, template, unit) using the media gallery. Uploaded media must be published and verified by a moderator before it becomes visible to tenants.
- Publish — On each unit's edit page, set the Show In Search toggle to enabled. Only searchable units appear in the public Listings section for tenants to browse.
Only published media (photos and videos) that have been verified by a moderator will appear in search results. Each media item must be published separately. Unverified or unpublished media will not be shown to tenants.
Troubleshooting
Emails not arriving?
Check spam, junk, promotions, and "All Mail" folders. Confirmation and invitation emails may be filtered by the email provider. If still not found, wait a few minutes and try again.
Manager can't login after registration?
Use the password reset flow: go to the login page, click "Forgot Password", enter the email, check email for the reset link, click the link, then check email again for a new temporary password. Use it to login.
Manager doesn't see the vendor?
Make sure the invitation was accepted (Step 6) and the Vendor role was assigned (Step 3). Both are required for the manager to see the vendor in their CMS section.
